Job Description
Receptionist
As a receptionist, you will be the first point of contact for our organization. Your role is crucial in creating a positive and welcoming impression for visitors and callers. You will provide administrative support and ensure the smooth operation of our front desk.
Key Responsibilities:
- Greeting and welcoming visitors in a friendly and professional manner.
- Answering and directing phone calls to the appropriate person or department.
- Managing the reception area, ensuring it’s clean and organized.
- Handling incoming and outgoing mail and deliveries.
- Assisting with general administrative tasks, including data entry, photocopying, and filing.
- Keeping records of visitor and employee sign-ins.
- Providing information to visitors and callers, including directions and basic company information.
- Coordinating appointments and maintaining the appointment calendar.
- Assisting in organizing meetings and conference room reservations.
- Maintaining security by following procedures and controlling access via the reception desk (e.g., issuing visitor badges).
- Keeping an inventory of office supplies and ordering as needed.
- Handling special projects or tasks as assigned by management.
Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a similar role is a plus.
- Proficiency in using office software and equipment, including Microsoft Office.
- Excellent communication and interpersonal skills.
- Professional appearance and a courteous demeanor.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
