Job Description

SPA Receptionist

A Spa Receptionist is the first point of contact for spa clients and is responsible for delivering excellent customer service, managing appointments, and ensuring the overall efficiency and professionalism of the spa reception area.

Duties and Responsibilities:

  1. Customer Service:
    • Greet and welcome clients in a friendly and professional manner.
    • Provide information about spa services, packages, and pricing.
    • Address client inquiries, concerns, and requests.
    • Maintain a positive and welcoming atmosphere for clients.
  2. Appointment Scheduling:
    • Schedule spa appointments for clients over the phone, in person, or via email.
    • Confirm and remind clients of their upcoming appointments.
    • Maintain an organized appointment book or scheduling system.
  3. Check-In and Check-Out:
    • Register clients for their services and create client profiles.
    • Collect payments and process transactions accurately.
    • Provide receipts and process any membership or gift card transactions.
  4. Client Information Management:
    • Update and maintain client records and contact information.
    • Ensure client confidentiality and data security.
  5. Spa Facility Management:
    • Maintain a clean, organized, and well-stocked reception area.
    • Monitor and restock spa retail products.
    • Assist in managing spa inventory.
  6. Client Comfort and Assistance:
    • Address client needs, such as providing towels, robes, and amenities.
    • Assist with special requests or accommodations.
  7. Communication:
    • Serve as a liaison between clients and spa staff.
    • Relay messages to therapists, estheticians, or other spa personnel.
    • Handle client feedback and resolve issues when necessary.
  8. Adherence to Policies and Procedures:
    • Follow spa policies and procedures related to appointment booking, cancellations, and refunds.
    • Ensure compliance with health and safety guidelines.
  9. Cash Handling:
    • Accurately handle cash, and credit card transactions, and reconcile cash register at the end of the shift.
  10. Up-Selling and Promotions:
    • Promote spa packages, upgrades, and retail products to clients.
    • Assist with marketing efforts and promotions.

Qualifications:

  • High school diploma or equivalent.
  • Excellent customer service and communication skills.
  • Organizational and multitasking abilities.
  • Proficiency with computer and scheduling software.
  • Knowledge of spa services and products is a plus.
  • Previous experience in a customer service or receptionist role is beneficial.
