Position Overview
We are seeking a professional, polished, and service-oriented Receptionist / Lobby Ambassador to serve as the first point of contact for our guests and visitors. This role Receptionist / Lobby Ambassador combines front-desk duties with a strong focus on guest engagement, personal assistance, and maintaining a welcoming atmosphere in the lobby or reception area.
As a Receptionist / Lobby Ambassador, you are not only responsible for managing guest check-ins and inquiries, but also for embodying the brand’s values through your demeanor, attentiveness, and professionalism. You will play a key role in shaping the guest experience from the very first moment they walk through the door.
This position Receptionist / Lobby Ambassador is ideal for individuals who take pride in customer service, have a high attention to detail, and possess excellent communication and interpersonal skills.
Key Responsibilities Receptionist / Lobby Ambassador
1. Guest Welcome & Lobby Presence

Greet all guests and visitors warmly with a smile and personalized attention.

Create a pleasant, professional, and luxurious atmosphere in the lobby or reception area.

Offer assistance with directions, inquiries, or requests, ensuring guests feel acknowledged and supported at all times.

Maintain a constant and confident presence at the front of house, offering help proactively.
2. Reception & Check-in Duties – Receptionist / Lobby Ambassador

Handle guest check-ins and check-outs efficiently, accurately, and with courtesy.

Manage booking confirmations, room assignments, and registration procedures.

Communicate room status, upgrades, and special requests with the appropriate departments (Housekeeping, Concierge, Bell Desk).

Process guest payments, issue receipts, and handle billing inquiries.
3. Communication & Coordination

Answer incoming phone calls and direct them to the appropriate departments or staff.

Respond promptly to emails and messages regarding reservations, meetings, or guest inquiries.

Coordinate closely with other departments (e.g., housekeeping, concierge, security) to fulfill guest requests quickly and efficiently.

Record and report any guest feedback, issues, or incidents to the supervisor or manager on duty.
4. Ambassadorial Role & Guest Engagement

Maintain awareness of VIP guests, long-staying guests, and returning clients; provide personalized attention where applicable.

Assist guests with general inquiries, tourism information, transportation arrangements, or restaurant reservations.

Promote hotel services, special offers, loyalty programs, and upcoming events.

Anticipate guest needs and provide thoughtful, proactive solutions.
5. Administrative & Facility Support

Maintain the reception area in immaculate condition, with organized materials and clean surroundings.

Monitor guest flow in the lobby and manage traffic during busy periods.

Handle office supplies, printing needs, key cards, guest messages, and concierge materials as needed.

Follow safety and security protocols in line with property policies.
Qualifications & Skills

High school diploma or equivalent; hospitality or administrative training is preferred.

Prior experience as a receptionist, front desk agent, or customer service role is highly desirable.

Professional appearance, with excellent grooming and dress sense.

Exceptional verbal and written communication skills.

Friendly, calm, and confident manner with a guest-first mindset.

Ability to multitask and remain composed in a fast-paced environment.

Knowledge of booking systems, front desk software (e.g., Opera, Fidelio, or equivalent), and Microsoft Office.

Fluency in English is required; additional languages are a plus.
