Spa Receptionist

As a Spa Receptionist, you will be the first point of contact for guests visiting the spa. Your role involves warmly welcoming guests, managing appointments, handling inquiries, and providing exceptional customer service to ensure a relaxing and enjoyable experience for all spa visitors.

Key Responsibilities:

  1. Guest Services:
    • Greet and welcome all spa guests with a friendly and professional demeanor.
    • Check guests in and out for their appointments, ensuring a smooth and efficient process.
    • Address guest inquiries and provide information about spa services, treatments, and products.
  2. Appointment Management:
    • Schedule and manage appointments using the spa’s booking system.
    • Confirm appointments and handle any changes or cancellations as needed.
    • Coordinate with therapists and other spa staff to ensure appointments run on time.
  3. Sales and Promotion:
    • Promote spa services, packages, and retail products to guests.
    • Process payments for treatments and products, including handling cash, credit cards, and gift certificates.
    • Maintain knowledge of current promotions and special offers to inform guests.
  4. Communication:
    • Answer phone calls and emails promptly and professionally.
    • Relay messages and information to spa staff as necessary.
    • Handle guest feedback, complaints, and special requests, escalating issues to the Spa Manager when needed.
  5. Administrative Duties:
    • Maintain accurate records of appointments, guest information, and financial transactions.
    • Assist with inventory management by tracking retail product sales and reporting low stock levels.
    • Ensure the reception area is clean, organized, and welcoming at all times.
  6. Collaboration:
    • Work closely with spa therapists and other team members to ensure seamless service delivery.
    • Participate in team meetings and training sessions as required.
    • Support other spa staff with various tasks during busy periods.


  • High school diploma or equivalent.
  • Previous experience in a customer service role, preferably in a spa, wellness, or hospitality setting.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in using booking systems and MS Office applications.
  • Ability to multitask and manage time effectively.
  • Professional appearance and demeanor.
  • Knowledge of spa treatments and products is a plus.

Physical Requirements:

  • Ability to sit, stand, and walk for extended periods.
  • Capable of lifting and carrying retail products and supplies (up to 20 pounds).
  • Comfortable working in a spa environment with exposure to various aromas and sounds.

Work Environment:

  • Spa reception area and guest service locations within the hotel/resort/spa.
  • Frequent interaction with guests, spa staff, and management.
  • Flexible schedule including evenings, weekends, and holidays.
